Custom-built vs off-the-shelf: what we learned building for 2 rental services

We have built custom systems for two rental and service businesses in the UAE. One is a rental operation with around 50 items and over 1,100 customers, the other is a service workshop handling 5-10 bikes a day across repairs, servicing, and washing. Before building, we looked at every off-the-shelf option available. Hubtiger, Booqable, Current RMS, RepairShopr, Lightspeed. We chose to build custom for both. Here is why, with real numbers.

This is a breakdown of what we found when we compared the costs, limitations, and long-term math of off-the-shelf platforms against building something from scratch for a specific business.

What the market charges

Every platform prices differently. Some charge per item, some per user, some per technician. Here is what they all cost in AED for a small rental or service business in the UAE:

For a bike or rental shop with 50-100 items and a small team, you are realistically looking at the mid-tier of most platforms. That puts you in the 200-400 AED/month range before add-ons.

If your business does both rental and service (like two of the platforms above require separate plans for), you are stacking subscriptions. A rental shop with 50 items and a service workshop on Hubtiger would require two separate subscriptions totaling over 400 AED per month before any extras.

What costs do pricing pages hide?

The monthly fee is the starting point. Here is what adds up across these platforms:

The pricing page says 106-143 AED/month. The real number after WhatsApp, SMS, the right tier, and add-ons is closer to 300-500.

What we actually spent building custom

For our first rental client (around 50 items, 1,100+ customers and growing, live since March 2026), here is the actual cost breakdown. The only recurring cost is system hosting, which ranges from free (self-hosted) to 88 AED/month depending on setup. The dashboard, automations, and notifications are all included in the build.

Year 1 total cost

Off-the-shelf (mid-tier)

200-400 AED/month base + WhatsApp + SMS extras = ~300 AED/month average. Year 1: ~3,600 AED

Custom build

5,000-7,000 AED one-time build + 0-88 AED/month system hosting. Year 1: ~5,000-8,056 AED

Year 2 and beyond

Off-the-shelf cumulative

Year 2: ~7,200 AED. Year 3: ~10,800 AED. Year 5: ~18,000 AED. Monthly fee never stops.

Custom cumulative

Year 2: ~5,000-9,112 AED. Year 3: ~5,000-10,168 AED. Year 5: ~5,000-12,280 AED. Just system hosting from month 13 onward, if any.

These numbers assume the platform does not raise prices. SaaS companies adjust pricing at their discretion. A custom system price is locked the day you pay for it.

What off-the-shelf cannot do

Cost is one thing, every business has expenses. The bigger problem is what you cannot change. Both of our clients had workflows that no off-the-shelf platform could handle without workarounds:

None of these are exotic requirements. They are just specific to how each business actually operates. Off-the-shelf platforms give you their workflow. Custom builds give you yours.

Why is WhatsApp a problem for off-the-shelf platforms?

In the UAE, WhatsApp is the default communication channel. Customers do not check email. SMS goes unread. WhatsApp is where business happens.

Off-the-shelf platforms either treat WhatsApp as a premium add-on or skip it entirely. Hubtiger charges 37 AED/month per number plus Meta's per-conversation fees. Booqable has no WhatsApp integration at all. RepairShopr and Lightspeed require third-party middleware. A business with 3 locations on Hubtiger is paying 111 AED/month just for WhatsApp before a single message is sent.

With a custom build, WhatsApp Business API is integrated directly. Our workshop client's WhatsApp notifications cost approximately 0.06 AED per message. For a shop processing 5-10 jobs per day, that is roughly 30-50 AED per month total. No per-number platform fee. No SMS credit limits.

When off-the-shelf makes sense

Custom is not always the right call. Off-the-shelf platforms win when:
